Terms of use
Last updated: 31 October 2026
These terms govern the use of Kingdom Manager (kingdomanager.com). You accept them when you create your account. Read them together with the privacy policy, which explains what is done with data.
This is a translation of the Spanish original, provided so you can read it in English. If the two versions ever differ, the Spanish one applies, except where the English one gives you more rights.
1. Who provides the service
The service is provided by the owner of Kingdom Manager (the "owner"), whose details appear in the legal notice. You can write to soporte@kingdomanager.com.
2. Acceptance
By ticking the box and creating your account you accept these terms. If you don't agree, don't create the account. Someone who only answers a survey from a link doesn't need an account and doesn't accept these terms, but mustn't use the form to cause harm (for example, by sending answers in bulk).
3. Your account
- You must be of legal age and able to enter into a contract.
- Give an email address that is yours and that you use: important notices will reach you there.
- The account is personal. Keep your password safe and don't share it; collaborators exist for working as a team. You are responsible for what is done with your account, unless you let us know that someone has got in without permission.
4. The service
Kingdom Manager lets you create alliances of a category (for now, Call of Dragons alliances), send its members that category's ready-made surveys, collect their answers from a public link and see them in dashboards, with collaborators if your plan includes them.
The service is under development and will change: features will be added and some may be modified. If a change takes away something important that you use, we'll give you reasonable notice. We work to keep it always available, but there may be outages for maintenance or because of failures at the technical providers.
5. Plans
Every account has a plan. The free one includes one alliance with its limits (active surveys, members); VIP plans raise those limits and add features such as the PIN or collaborators. Each plan's limits are shown on the website.
For now nothing is charged. While the free beta lasts, every account has the VIP Tier 1 plan at no cost. Before the beta ends we'll let you know by email at least 30 days in advance; from that day your account will move to the free plan, unless you choose a paid one. Outside the beta, VIP plans are assigned by hand.
When paying becomes possible, the price, payment method, renewal, cancellation and right of withdrawal will be published in purchase terms that you'll have to accept before paying.
If your plan goes down (for example, from a VIP plan to the free one), nothing is deleted: whatever exceeds the limits stays frozen, unable to launch or activate surveys, until you return to a plan that covers it or you adjust it.
6. Acceptable use
You may not use Kingdom Manager to:
- Do anything illegal, or harass, threaten, discriminate against or deceive anyone.
- Publish names, logos or messages that are offensive or that infringe other people's rights.
- Ask members for specially protected data (health, beliefs, religion, ethnic origin, sex life or sexual orientation, biometric data), bank details or passwords.
- Send unsolicited mail or impersonate another person or organization.
- Attack or overload the website, get around its limits or security measures, or extract data automatically.
7. Your content
What you upload (your alliance's name and logo, your surveys' titles and messages) is still yours, and you make sure you have the right to use it. You give us permission, free of charge and only while you have the account, to store, copy and display it as far as needed to provide the service (for example, to show your logo on your members' form).
We may remove content that breaches these terms or the law, and we'll tell you why.
8. Your members' data
When you launch a survey, you decide what to ask your members and what you use their answers for. That makes you the controller of that data under the GDPR, and the owner is your processor, on the terms of the annex. As controller:
- You need a legal basis to collect it (for example, your members' consent when they answer or your legitimate interest in organizing the community) and you must inform them. The survey's message is there to explain what you'll use their answers for; the form already tells them who the controller is and links to the privacy policy.
- Ask only for what you need and delete it when you no longer use it (you can delete answers, members and surveys).
- Deal with your members' requests about their data. If one reaches us, we'll pass it on to you and help you.
9. Collaborators
If your plan allows it, you can invite other people to manage your alliance and decide what each of them can see and do. You choose whom you invite: they act on your instructions, and you are responsible for them treating your members' data with care. You can change their permissions or remove them whenever you like.
10. Closing and suspension
You can delete your account whenever you like from Settings. Your account and your alliances, with all their surveys, members and answers, are deleted at that moment, and you stop collaborating in other people's. It can't be undone, so check first whatever you need to keep.
We may suspend or close an account that seriously breaches these terms or the law. Except in an emergency (for example, an attack or illegal content), we'll warn you first and give you the chance to explain. If we ever stop providing the service, we'll give at least 30 days' notice.
11. Liability
We take reasonable care to make the service work well and keep data secure. We aren't liable for content published by users, for what each alliance decides based on its results, or for outages caused by third parties or force majeure.
Nothing in these terms limits the rights the law gives you if you are a consumer, or any liability that can't legally be excluded, such as liability for wilful misconduct or gross negligence.
12. Changes to the terms
If we change these terms, we'll let you know by email and on the website at least 15 days before they apply, unless the change is required by law. If you don't agree, you can delete your account before that date.
13. Applicable law
These terms are governed by Spanish law. If you are a consumer, you can bring a claim before the courts where you live; in all other cases, the courts where the owner is domiciled will have jurisdiction. Before it comes to that, write to us: we'll try to sort it out.
Annex: data processing agreement (Article 28 GDPR)
This annex is part of the terms and applies to each alliance: the alliance's owner is the controller and the owner of Kingdom Manager, the processor.
- Subject matter. The processor stores and processes the data of the alliance's members so that the controller can launch surveys, receive the answers, validate them, see them in dashboards and delete them.
- Duration. For as long as the alliance exists.
- Nature and purpose. Collection through the public form, storage, consultation, alliance, calculation of statistics and erasure, solely to provide the service to the controller.
- Data. The member identifier that the category asks for (in Call of Dragons, the in-game ID), their name in the community, their answers, the language they answered in, the country of their connection, the date of each submission and a pseudonymised fingerprint of their connection, which is deleted after 24 hours.
- Data subjects. The people who answer the alliance's surveys.
- Instructions. The processor processes the data only on the controller's documented instructions, which are these terms and whatever the controller does with the website's features. If an instruction seems to it to be against the law, it will say so.
- Confidentiality. Only the owner and whoever the owner authorises, under a duty of confidentiality, access the data, and only when needed (for example, to resolve an incident).
- Security. The processor applies the Article 32 GDPR measures described in the privacy policy: encrypted connections, row-level access rules, secret keys only on the server and limits against abuse.
- Sub-processors. The controller authorises the providers listed in the privacy policy, which have equivalent data protection obligations. Before adding or changing one, the processor will give notice by email so that the controller can object; if they object, they can leave the service by deleting their account.
- Data subjects' rights. The controller can handle most of them on their own from the website (viewing and deleting answers and members). The processor will forward without delay any requests it receives and will help with the rest.
- Breaches and other obligations. The processor will notify the controller without undue delay of any security breach affecting their data, with the information available so that they can report it, and will help them meet their obligations under Articles 32 to 36 GDPR.
- End of processing. When the alliance or the account is deleted, the data is erased at that moment (and from backups, when they expire). If the controller asks before deleting, the processor will provide a copy in electronic format.
- Information and audits. The processor will make available to the controller the information needed to show that it complies with this annex and will allow reasonable inspections that the controller requests, with prior notice.
- Transfers. If a provider processes the data outside the European Economic Area, it will be done with the Chapter V GDPR safeguards explained in the privacy policy.
